TBK Integrated Management Information System

The Tea Board of Kenya (TBK) is a State Corporation established under the Tea Act 2020 of the laws of Kenya with a core mandate of regulating and developing the tea industry.

IMIS System is a project by Tea Board of Kenya for the automation its business process.

The role of the system is to enable stakeholders in the tea industry acquire regulatory documents from remote locations and at their convenience without having to visit the agency.
The system will facilitate the achievement of efficiency gains and as well integrate to the Kentrade Trade Facilitation Portal (TFP), Payment Platform and other applications as may be appropriate to provide an online platform for stakeholder interaction with Tea Board of Kenya.

Tea Board of Kenya IMIS will achieve the below:

  • Automate business processes of Tea Board of Kenya to:
  • Reduce the cycle time to issuing regulatory documents from the respective directorates
  • Enable capturing of all requisite inspection information on the platform
  • Inform the stakeholders on the status of their applications on the system
  • Reduce the complexity of the payments process by integrating to a payment gateway
  • Facilitate online availability of data to the stakeholders
  • Ensure the accurate and efficient capture of applications by limiting tampering of data by putting controls in the system
  • Enable traders importing and exporting crops acquire regulatory documents from remote locations and at their convenience without having to visit the agency
  • Enable Tea Board of Kenya to realize full efficiency gains
  • Prepare Tea Board of Kenya for integration to the Kentrade Trade Facilitation Portal (TFP), Payment Platform and other applications as may be appropriate
  • Reduce administrative cost and time by eliminating paperwork through automated data collection
  • Increased transparency through built in audit trail reports and analytics
  • Enable traceability of agricultural produce to the farm of origin through the use of GIS
  • Improved Time to make decisions through intelligent market reporting tools

 

TBK SERVICES

ENFORCEMENT AND COMPLIANCE

  • Development and review of the regulatory framework for the tea sub sector;
  • Licensing of tea manufacturers and registration of tea dealers along the value chain;
  • Compliance monitoring, inspections/audits of tea factories and tea traders to enforce relevant laws and standards;
  • Surveillance inspections on illegal dealings in tea;
  • Development and review of tea Standards in collaboration with Kenya Bureau of Standards (KEBS) and other international standards development bodies;
  • Tea quality analysis to enhance market access.
  • Capacity building and technical assistance to Counties.
  • Pre - import conformity assessment and approval of tea imports;
  • Dissemination of information to stakeholders on tea matters.
  • Consultation with tea industry stakeholders in the development of policies and regulations;

MARKET RESEARCH AND PRODUCT DEVELOPMENT

  • Monitoring and dissemination of market information, including identification of the local and global supply-demand situation;
  • Promote trade and market access for Kenya tea;
  • Create overseas market linkages for Kenya tea;
  • Conduct Kenya tea market research, intelligence gathering and surveys on traditional, emerging and potential markets for Kenyan tea;
  • Build capacity of value chain players on product development, adaptation and product design, packaging, labelling, branding and enhancement of exporting skills at both sectoral and firm levels and providing business counselling services to potential and existing exporters; 
  • Promote and advise on strategies for value addition prior to the export of tea from Kenya.

TECHNICAL AND ADVISORY SERVICES

  • Establishing linkages with various governments and private research institutions for the conduct of studies and researches designed to promote the production of tea;
  • Promote quality improvement programs though formulation of guidelines on good agriculture practices, Good manufacturing practices and Best Environment practices for the Tea sector;
  • Formulate guidelines for control of pest and diseases using Integrated Pest Managements (IPM) practices strategies;
  • Collaborating with research and training institutions in disseminating research findings;
  • Conduct surveys and studies on various aspects for the promotion and development of tea and tea products;
  • Collaborate with the Tea Research Institute in training and development of technical materials on various products and aspects of production of tea;
  • Capacity building of Counties to enhance their technical capabilities for the development of the tea value chain;
  • Advise on various aspects of tea value chain in consultation with the relevant institutions with the aim of improving performance of the tea industry;

Tea Importer/Exporter Certificate Application

Applicant is required to provide the following requirements

  1. Certificate of Company or Business Registration/Incorporation (Valid Copy)
  2. Business Plan ( entailing top management profiles and business Proposal)
  3. Form CR 12
  4. Company KRA PIN Certificate
  5. Valid KRA Tax Compliance Certificate
  6. Current Business Permit

Tea Buyer/Importer/Export Certificate Application

Applicant is required to provide the following requirements

  1. Certificate of Company or Business Registration/Incorporation (Valid Copy)
  2. Business Plan ( entailing top management profiles and business Proposal)
  3. Form CR 12
  4. Company KRA PIN Certificate
  5. Valid KRA Tax Compliance Certificate
  6. Current Business Permit

Tea Manufacturer License Application

Applicant is required to provide the following requirements

  1. Environmental Impact Assessment from NEMA
  2. Certificate of Company or Business Registration/Incorporation (Valid Copy)
  3. Detailed Project feasibility study report/project Profile
  4. Audited Accounts
  5. Company PIN/Tax Registration
  6. Valid KRA Tax Compliance Certificate
  7. Current Business Permit
  8. Form CR 12
  9. The Food, Drugs, and Chemical Substances (Food Hygiene Regulations) License (Cap 254) by the Public Health Department

Tea Packer License Application

Applicant is required to provide the following requirements

  1. Certificate of Company or Business Registration/Incorporation (Valid Copy)
  2. Company PIN/Tax Registration
  3. Valid KRA Tax Compliance Certificate
  4. Current Business Permit
  5. Form CR 12
  6. Food Hygiene License

Tea Warehouseman License Application

Applicant is required to provide the following requirements

  1. Certificate of Company or Business Registration/Incorporation (Valid Copy)
  2. Company PIN/Tax Registration
  3. Current Business Permit
  4. Valid KRA Tax Compliance Certificate
  5. Form CR 12
  6. Valid Insurance Policy

How it Works

Online Registration

Click Registration link -> Fill in user and company details -> Submit

This will facilitate the online registration of stake holder system users and organization details.

On registration an email with the credentials will be sent to the users registered email address to facilitate access to the portal. Once logged in the portal the users can carry out the respective tasks/roles for the directorates depending which functionality they intend to perform.

Registration will be a one-time process for the users and companies.
